AI Recruiter Assistant

Problem

Recruiters were overwhelmed by hundreds of incoming resumes each week. Manual screening and scheduling took hours, causing delays in shortlisting candidates and missed opportunities for top talent.

Solution

An AI Recruiter Assistant built with Make.com automates the entire recruitment flow:

Subsystem 1 – Automatic Application Processing

• CVs received by email are automatically uploaded to Dropbox.
• An OCR extracts the text from PDFs.
• OpenAI analyzes each CV to:
  • Generate a candidate summary,
  • Assign a relevance score (0–100) based on predefined criteria.
• Candidate data (name, email, score, skills, summary, etc.) is stored in a Notion database.
• An automatic acknowledgment email is sent to the candidate.

Subsystem 2 – High-Potential Detection

• Every day, the system reviews the database.
• When enough high-score profiles are found, the recruiter receives a notification via email and Slack.

Subsystem 3 – Dynamic Candidate Status Tracking

• Each status update triggers automated actions:
  • Shortlisted: Recruiter notified on Slack.
  • Interview Scheduled: The system checks Google Calendar availability, books a slot, confirms with the candidate, and alerts the interview team.
  • Rejected: The candidate receives a polite rejection email automatically.
